Finished goods are not always ready for collection. Packaging, documents and site access need to be prepared together. This checklist helps organise the handover and reduce last-minute questions.
Check the packaging and load units
Make sure the packaging suits the goods and the agreed handling arrangements. Check pallets, visible damage and clearly marked stacking restrictions. Verify the number, external dimensions and gross weight of the finished units. If packaging is unstable or damaged, discuss a solution before the vehicle arrives.
Distinguish packing from securing the load
Packaging and securing goods inside a vehicle have different functions. The European Commission notes that unsecured cargo may move, fall or affect vehicle stability. Agree in advance who is responsible for loading and securing, and what equipment is needed. The actual securing arrangement requires an assessment of the cargo and vehicle.
Prepare consistent documents
Check that sender and consignee details, addresses, goods descriptions and quantities match across the order and transport documents. A CMR consignment note may apply to international road carriage and documents the transport contract. Clarify the documents needed for the particular route and goods with your forwarder.
- Sender, consignee and address details.
- Description, number of units and shipment weight.
- Order references and handover instructions.
- Additional documents required for the goods and route.
Coordinate the people at both addresses
Confirm opening hours, loading dock, vehicle access and available equipment. Provide the phone number of someone familiar with the shipment. Tell the consignee what is arriving and what equipment is needed for unloading. Share only necessary business contact details.
Make a final check at handover
Compare the units actually handed over with the documents. If there is a discrepancy, visible damage or a change in conditions, notify the forwarder promptly and record the facts through the agreed process. Keep the documents and handover confirmation together.
